Maintenance and upgrade of ERP
for a large logistics company

CASE 1 Maintenance and upgrade of ERP for a large logistics company

Contributing to 20% reduction in maintenance costs of ERP by outsourcing all the maintenance work to IBS. Removal of 3 other vendors and resulted in 50% reduction in erroes.

IBS’ proposal to leverage its offshore location in Vietnam for outsourcing destination. IBS trained its Vietnamese staff to be able to handle non-standardized work, enabling the Vietnamese staff to be able to do most of the work, significantly contributing to lower costs.

Lack of standard operating procedure (SOP) in the legacy system was causing inefficiency. IBS utilized automatic system visualization tool (Reverse Planet) to automatically recreate SOP, which eventually led us to the removal of “host”. As for xyz, change miner was employed to be familiar with the structure of the application. This helped us secure reliability of the system and identify all problems during the test.

IBS also helped the client with identification of action list necessary for adoption of IFRS and future look of the system.

Building system to keep track of each user’s location for travel Japan ‘s WIFI over AWS

The company, Travel Japan receives several thousand information about each user’s location. The client needed to make sense of the big data generated by its 20,000 wifi spots. IBS was able to cut it over in less than 3 months through increased use of the latest cloud technologies (Amazon EC2, RDS, DynamoDB, CloudWatch, and ELB). IBS leveraged cloud techonologies to the maximum extend allowing even future expansion plausible.

The location information can be utilize to send optimal information about promotion information.

CASE 3 Account management for Telecommunication company

IBS worked with of one of Telecommunication company’s franchise in which it provides one stop services for all office services. We provided them with holistic solutions from sales analysis, drafting sales strategy, and implementation.

The keys to success are internal meetings designed to share interaction with clients with other members in the sales team to be able to provide consistent services across regardless of the client and introduction of standard operating procedure (SOP). This has given the client very clear visibility in its process, reducing minor mistakes and increased productivity.

Privacy Policy

Our company exists and operates under the principle of “Sharing the experience of realizing the solid growth of our customers through IT/process reform and creating organization full of joy toward work”. According to this principle, our company places the greatest importance and highest priority on properly protecting and managing the privacy/personal information of all stakeholders including customers, our employees and employees of entrusted companies in carrying out our business activities.

Along with constructing personal information protection management systems, our company will establish the following personal information policy and will notify such policy to our employees and employees of entrusted companies, and will make effort to appropriately protect the personal information in compliance to this policy.

1. Acquisition, use and provision of personal information:
Intelligence Business Solutions shall identify and clearly specify the scope necessary for personal information to be used to achieve business objectives and, shall only acquire personal information through legal and fair means. Personal information acquired by Intelligence Business Solutions shall only be used/provided within the scope necessary to achieve previously specified business objectives and, shall not be used for purposes outside the scope required to achieve said aims of use. In addition, Intelligence Business Solutions shall implement periodic checks to ensure that personal information is not being used etc for purposes other than the said objectives.

2. Compliance with laws, state policy and other regulations in relation to personal information:
Intelligence Business Solutions shall comply with laws, state policy and other regulations relating to personal information and, shall ensure the appropriate protection and management of personal information in accordance with the personal information protection management system, JISQ15001:2006.

3. Prevention of damages and personal information leakage/loss and, corrective measures:
Intelligence Business Solutions shall implement appropriate security measures to prevent unauthorized access, loss, destruction, alteration and leaks of personal information. Also, these security measures shall be periodically and promptly reviewed and revised.

4. Complaints and inquiries:
Intelligence Business Solutions shall endeavor to sincerely address complaints, questions and inquiries etc. regarding the handling of personal information.

5. On-going improvements to the personal information protection management system:
To safely protect personal information, Intelligence Business Solutions shall implement without fail the `Plan-Do-Check-Act` (PDCA) cycle based on the personal information protection management system and, shall make on-going improvements relating to personal information protection.

Handling of Personal Information

Personal Information provided to the Company is to be handled as follows.
In the event of any conflict between the Japanese and English versions of these terms, the Japanese version shall prevail.

1. Purpose of Using Personal Information
The Company may use personal information obtained from outside only for the purposes listed below.

- Information on customer representative
Execution of task to provide application service, Execution of customer management task and task accompanying such customer management, Information on service provided by the Company and our group

- Information on person that applied for seminars and courses
Operational management of seminars and courses, Operational improvement of future seminars and courses, marketing activity and survey to improve service, Information on service being provided by the Company and our group

- Information on person who made inquiry or opinion
Response to inquiry or opinion, Information on service being provided by the Company and our group related to the content of inquiry or opinion

- Information on person who applied for the Company’s job offer
Contact information and sending of material pertaining to the selection process schedule of the Company’s hiring activity, Selection of applicants, recruitment management task and execution of task that accompanies these items

- Information acquired from public information
Information on service provided by the Company and our group

- Information about a person who were interviewed through publicity activity and information acquired during such activity
Publishing on promotional magazine, pamphlet and home page of the Company and TEMP GROUP, Publishing of article to the media, Contact information needed for promotional activity such as interview request, etc.

- Information on receiving of deposit pertaining to entrustment task
Performing tasks requested by the entruster for the sake of providing the following services, IT consulting, System integration, IT renovation (maintenance and operation), Development, maintenance, and operation of global system, Base design and construction of ICT system, ICT outsourcing solution, New energy outsourcing, Sales marketing, Contact center, Personnel solution, Other tasks requested by the entruster

- Use information on products by the Company
Analysis aimed at improving service quality

- Information recorded on surveillance camera
Safety management such as preventing crime

- Information on recorded audio
Utilized to improve quality of telephone response, Accurate recording of content, re-confirmation of content

Furthermore, if the Company separately specifies the use purpose while gathering separate personal information, and if the subject person either receives a notice or consents to such specified portion, such specified portion of use purpose will apply for said separate personal information.

2. Provision of Personal Information
Except for cases prescribed by law, personal information acquired by the Company will not be provided to third parties without the prior consent of the person concerned.

3. Rights of Information Provider
In the event of a request for notifying the purpose of use, or a request for the disclosure, correction, addition, deletion or suspension of the use of information, the erasure of information, or suspending the provision of information to third parties, the Company will respond promptly in accordance with the prescribed procedures. Please note that it may not be possible to respond to requests when doing so would adversely affect business operations.

4. Voluntary Basis
Personal information is provided on a voluntary basis. However, those who do not provide such personal information as required by the Company, or make incomplete entries, may not be contacted by the Company in the future.

5. Collection of the personal data by the methods hard to be recognized by site visitors
(1) Cookies
In the Company’s websites, the Company uses Cookies to collect information for the purpose of enhancements of the Services, to manage store and connect sessions and to improve convenience and utilize the statistic data. The Company also uses the third-party Cookies to measure the efficiency of the advertisements. Additionally, the Company uses the Cookies to optimize and display the most efficient advertisements on the third party’s websites, based on the information such as site visitor interests or accessing history under the advertising distribution contracts with the third party. While user may disable Cookies the settings of the devices browser, disabling Cookies may prevent the users from using certain parts of the Services. Users can see the manuals of its browser to manage the Cookie.
(2) Access Information
In the Company’s websites, the Company collects the users accessing history using Web-beacon of its own or provided by a third party.
